Why scanning beats searching for items
If you bill by typing the first few letters of an item name and picking from a list, every bill depends on the person at the counter remembering the right name. The same biscuit might be saved as 'ParleG', 'Parle G Small' or 'Biscuit Parle' — and during the evening rush, staff pick whichever comes up first. The bill goes out with the wrong variant, the price is off by a few rupees, and your stock report quietly drifts away from reality.
A barcode scan removes the guesswork. The scanner reads the code, the software matches it to exactly one item, and the correct name, price and tax land on the bill in under a second. Billing gets faster, wrong-item errors nearly disappear, and because every sale hits the exact item, your live stock numbers stay trustworthy — which is the foundation for reorder alerts and stock audits later.
The hardware you actually need
The only essential purchase is a barcode scanner. A basic wired USB scanner costs a couple of thousand rupees or less in most Indian markets, plugs into your computer like a keyboard, and needs no drivers — whatever it scans gets typed into the billing screen. If the budget allows, pick a 2D scanner over a 1D one: it reads ordinary striped barcodes as well as QR codes, and it copes far better with crumpled or slightly faded labels.
A thermal label printer is optional, and only needed if you will print your own labels. Entry-level models cost a few thousand rupees, print on rolls of self-adhesive labels, and use no ink or toner. Everything else you already own — any computer or laptop that runs your billing software will do. Skip cordless scanners and industrial printers for now; a small shop rarely needs them on day one.
Barcode types, explained simply
Almost every branded FMCG product in India — biscuits, soaps, shampoo, cold drinks — already carries an EAN-13 barcode: the familiar 13-digit striped code printed by the manufacturer. That number is globally unique to the product and pack size, so a 100g pack and a 200g pack of the same biscuit carry different codes.
For items you label yourself, the usual choice is Code 128. It is a flexible format that can encode your own item codes — 'RICE-SONA-1KG' or a simple running number — and it is what most label printers and billing systems expect for in-house labels. You do not need to register anywhere to use Code 128 inside your own shop; official GS1 registration only matters if you manufacture products that other stores or online marketplaces will sell.
Map it or print it: the one decision that drives everything
For every item in your shop, the question is simple: does it already have a barcode on the pack? If yes, you never print anything — you map that EAN to the item in your software once. Scan the pack, link the code to the right item and price, and every future scan of that code bills correctly forever.
If the item has no barcode — loose grains, unbranded hardware, your own repacked spices — you generate a code and print a label. A one-week setup plan
Days 1 and 2: get your item catalogue into the software — names, MRPs, tax rates and opening stock. Do not try to map barcodes yet; a clean item list comes first.
Days 3 and 4: map manufacturer barcodes as stock moves. The trick is to map while receiving goods — when a carton arrives, scan one unit of each product and link the code to the item. Any code the counter does not recognise is also a mapping opportunity: link it once and move on.
Day 5: print labels for everything without a manufacturer code — own-brand packs, loose-item bins, service items. Days 6 and 7: train the staff and run the counter on scanning, keeping the old name-search method as a fallback. By the end of the week most bills should be scan-only, and the remaining unmapped items will surface themselves one beep at a time.
Edge cases worth planning for
Multiple pack sizes are not one item. The 90g and the 250g pack carry different EANs, different MRPs and often different margins — create them as separate items and let the barcode pick the right one. This is exactly where name-based billing used to go wrong, and where scanning quietly fixes it.
The same product can arrive with a different printed MRP in a new batch while the barcode stays identical. Decide your policy up front: either keep batch-wise MRPs in the software so the scan asks which batch, or update the item price when the new batch reaches the shelf and clear the old stock first. What you must never do is sell above the MRP printed on the pack.
Weighed and loose items — vegetables, grains sold by the kilo, sweets — do not fit one-code-one-price. Either use a weighing scale that prints price-embedded barcodes, or keep these items on quick-pick buttons in the billing screen. A shop can be 90% scanned and 10% tapped and still get all the speed benefits.
Three mistakes to avoid
Mistake one: skipping the mapping when a code does not scan. Typing the name 'just this once' feels faster, but every skipped mapping keeps that item permanently in the slow lane. Take the ten seconds and link it.
Mistake two: reusing one barcode across variants — the same label on the half-kg and one-kg pack, or on different colours of the same garment. The whole point of scanning is that one code means exactly one item at one price; the moment a code is ambiguous, your stock accuracy is gone.
Mistake three: printing labels on plain paper with ordinary glue, or on an inkjet. They smudge, fade and fall off, and staff drift back to typing within a month. Proper thermal labels cost very little per sticker and scan reliably for as long as the product sits on your shelf. Start small, map as you go, and within a few weeks the beep at your counter will be doing the remembering for you.
