Credit note format for returns, rate errors and discounts
The only clean way to reduce an invoice you have already issued — with the fields Rule 53 requires and the deadline that decides whether you get the tax back.
Create a credit note freeYou raised an invoice, then something changed. The customer returned two pieces, the rate was typed a percent too high, or the goods arrived short. You cannot edit a filed invoice, and you should never re-issue it with a different number. You issue a credit note against it.
A credit note reduces the value or tax of an earlier invoice and lets you reduce your output tax liability — provided you issue and report it in time, and provided the buyer reverses the credit they had already taken. Both conditions matter.
What this format must carry
Every field below, with whether it is mandatory and what it is for.

When a credit note is required
Section 34 lists the grounds: the taxable value or tax charged on the invoice was higher than it should have been, the goods were returned by the buyer, or the goods or services were found deficient. Post-sale discounts agreed after the invoice was raised also travel through a credit note.
It is always the supplier who issues it. If a buyer sends you their own "debit note" for a return, treat it as intimation — the GST adjustment only happens when you issue a credit note from your side and report it.
The deadline nobody should miss
A credit note that reduces your tax liability must be declared in a return filed no later than 30 November following the end of the financial year in which the original supply was made, or the date of filing the annual return for that year, whichever is earlier. After that, you can still issue a commercial credit note, but you cannot recover the GST on it.
There is a second condition. Your output liability reduces only if the buyer reverses the corresponding input tax credit. In practice this means telling the buyer about the credit note rather than filing it quietly, because their reversal is what completes the adjustment.
Financial credit notes and other traps
Not every credit note carries GST. Where a discount was not linked to the original supply agreement, or the deadline has passed, businesses issue a financial or commercial credit note for the value alone without touching tax. It settles the ledger between the parties but changes nothing in the returns — so label it clearly as such.
