How to lay out and print a GST-ready bill book — the header block, the item grid, the tax summary, and the numbering that keeps you out of trouble.
Print a GST bill freeA carbon bill book is still the fastest tool in thousands of Indian shops. It works without electricity, without a network, and without training anyone. The problem is not the book — it is that most printed books were designed years ago and no longer carry what a GST bill needs.
This page is about getting the printing right. If your bill book is laid out well, a handwritten bill can be perfectly compliant. If it is not, every bill you write inherits the same gap, and you find out about it in bulk.
What this format must carry
Every field below, with whether it is mandatory and what it is for.

Getting the numbering right at the press
Machine numbering is the whole point of a printed book. Decide the prefix before printing: a financial-year element such as 2627, a short document code, and a running number — for example 2627/INV/0001. Keep the total to 16 characters including slashes.
Order books in blocks that finish inside one financial year. A book that straddles April is the most common cause of a series carrying over when it should have restarted, and splitting it mid-book creates gaps that are hard to explain later.
Running the book cleanly
Never tear out a spoiled bill. Write "cancelled" across all copies and leave them in the book — a missing serial is exactly what an officer looks for, and an intact cancelled bill answers the question immediately. Keep completed books for the statutory retention period rather than clearing them out at year end.
Where more than one person bills, either issue separate books with separate prefixes or make one person responsible for the book. Two people writing in the same book at the counter is how duplicate numbers appear.
When to move off paper
A bill book stops paying for itself the moment you need rate-wise summaries, stock deduction or party outstandings — because all of that gets re-typed by someone at month end, usually the owner, usually at night. That re-typing is where the real errors enter.
