Electronics shop bill format with serial numbers and warranty
A television, an air conditioner and an installation charge on one bill — with the serial numbers that make the warranty claim possible.
Create an electronics bill freeConsumer durables are high-value, serial-numbered and almost always come with a warranty and an installation visit. That combination makes the bill a long-lived document: the customer will produce it two years later at a service centre, and your own claim on the manufacturer depends on it too.
The rate side got simpler from 22 September 2025, with televisions, air conditioners, refrigerators, washing machines, monitors and dishwashers all settling at 18%. What still needs care is the serial number, the split between goods and installation service, and the delivery documentation for anything going out on a vehicle.
What this format must carry
Every field below, with whether it is mandatory and what it is for.
| Field | Required | Notes |
|---|---|---|
| Shop name, address, GSTIN | Header block. Authorised dealer details where you carry brand tie-ups. | |
| Bill number and date | Consecutive series. The invoice date starts the warranty clock and is what a service centre checks. | |
| Customer name, address, phone | Needed for delivery and installation, and required for unregistered buyers once the value crosses ₹50,000 — which most appliances do. | |
| Product, model and capacity | Exact model with size or capacity: 1.5 ton, 55 inch, 7 kg. Variants of the same model differ in price and specification. | |
| Serial number | Per unit, exactly as on the appliance. Warranty claims and manufacturer settlements both run on it. | |
| HSN code | Each appliance family has its own code. Do not carry the code from your best-selling line across the bill. | |
| Rate, quantity and taxable value | Actual selling price before tax, which is usually below MRP after the negotiation these sales involve. | |
| GST at 18% | Televisions, air conditioners, refrigerators, washing machines and similar appliances are at 18% since 22 September 2025. | |
| Installation or demo charge | A service line with its own SAC code where you charge separately for fitting or commissioning. | |
| Extended warranty | A separate service line, not part of the appliance price. It is sold as its own supply. | |
| Delivery details | Delivery date, address and vehicle where applicable. Consignments above ₹50,000 need an e-way bill. |

Serial numbers do the heavy lifting
Every appliance carries a serial number, and it should be on the bill against the unit sold. It is what a service centre uses to confirm warranty coverage, what you use to claim against the manufacturer on a defective unit, and what settles any question about whether the piece in front of you came from your showroom.
Tracking serials from purchase to sale also closes your stock loop. You know which specific units are still on the floor, which went out, and to whom — useful in a trade where a single unit represents several days of margin.
Goods, installation and extended warranty
Appliances are goods with an HSN code. Installation, commissioning and demo visits are services with an SAC code. Extended warranty is a separate service supply too, priced and sold on its own terms. Keeping them on distinct lines makes the bill honest and gives the customer a clear view of what they paid for.
A common shortcut is to fold the installation charge into the appliance price so the bill looks simpler. It obscures the service revenue, and where a technician later disputes a payment or a customer disputes a charge, there is nothing on paper to point at.
Delivery, exchange and after-sale documents
Appliances usually leave on a vehicle, so any consignment above ₹50,000 needs an e-way bill generated from the invoice. Where a unit goes out for demonstration and comes back, that movement runs on a delivery challan instead, and the challan should be closed when the item returns.
Exchange offers should show the old appliance value as its own deduction line, with the new unit billed at full value. If a unit is returned or replaced under warranty, the correct document is a credit note against the original invoice. RetailDek's free invoice generator produces an 18% GST bill with room for serial numbers and separate service lines.
