Estimate format for jobs you cannot price to the rupee
Repair work, site work, made-to-order jobs — an estimate sets expectations before work starts, and keeps the final bill from becoming an argument.
Create an estimate freeAn estimate is an honest approximation. A workshop cannot know the final figure until the machine is opened; a contractor cannot know until the wall comes down. The estimate says what you expect, what could change it, and by how much — before the customer commits.
There is an important line to walk here. An estimate is a legitimate pre-work document. What it must never become is a substitute for a tax invoice on a completed sale, because handing customers an "estimate" to keep a sale off the books is tax evasion, not paperwork preference.
What this format must carry
Every field below, with whether it is mandatory and what it is for.

Estimate, quotation or proforma?
An estimate is approximate by design and used where the full scope is not yet known — repairs, diagnostics, renovation. A quotation is a firm price for a defined scope. A proforma is a near-final statement of an agreed deal, usually issued so the buyer can pay an advance.
If you can define the scope precisely, quote rather than estimate. Customers respond better to a firm number, and you avoid the variation conversation entirely.
The line you must not cross
Once the work is done and the customer pays, a registered business must issue a tax invoice. Substituting an estimate or a plain slip to keep the sale out of the GST return is suppression of turnover, with tax, interest and penalty following if it is detected — and the paper trail from your own purchases usually gives it away.
Keeping estimates and invoices in separate series with separate titles protects you here. The estimate is the pre-work document; the invoice is what the customer takes home with the goods.
Turning approved estimates into revenue
The strongest workshops in India follow one habit: nothing is opened up before the estimate is approved, and any variation gets a fresh approval on a call or in writing. It slows the first hour and saves the last one.
