Receipt format for payments and advances
A payment receipt closes a bill; a receipt voucher records an advance under GST. They look similar and are used very differently.
Create a payment receipt freeEvery payment that comes in should leave a trace. A plain payment receipt acknowledges money received against an invoice and keeps your party ledger honest. A receipt voucher is a GST document issued when money arrives before the supply happens, and it carries tax.
Confusing the two is common and expensive. Take an advance for a made-to-order item, issue only an informal slip, and the tax on that advance goes unreported until someone reconciles your bank statement against your returns.
What this format must carry
Every field below, with whether it is mandatory and what it is for.

Payment receipt versus receipt voucher
A payment receipt is issued when a customer settles an invoice you already raised. The tax was accounted for on that invoice, so the receipt carries no tax — it is a ledger document.
A receipt voucher is issued when you take money before supplying. Section 31(3)(d) requires it, and it carries the tax on the advance. When the supply eventually happens you raise the tax invoice and adjust the advance against it, referencing the voucher.
Advances, refunds and the rules around them
If you cannot tell what rate applies at the time the advance is received, use 18%. If you cannot tell where the supply will happen, treat it as inter-state. These are the fallbacks written into the rules, and they exist precisely because advances are often taken before the details are fixed.
If the order is later cancelled and no invoice is issued, you refund the money against a refund voucher, which references the original receipt voucher. That voucher is what lets you reverse the tax you had already accounted for.
Everyday discipline
Issue a receipt for every collection, including part payments, and reference the invoice on it. Ledger disputes almost always begin with a payment that both sides remember differently and neither side documented.

For services, yes — tax is payable when the advance is received and a receipt voucher must be issued. For goods, registered suppliers pay tax at the time of invoice rather than on the advance, but the receipt voucher is still the correct document to record the money.
