Supermarket bill format for forty items and four tax rates
Scan, total, tax-summarise and print — the layout that keeps a long thermal receipt readable and your GST return reconciled.
Print barcode labels freeA supermarket bill is a long document produced in a hurry. Forty lines, several tax rates, a couple of offers, a loyalty number and a queue behind the customer. The format has to be fast to produce, easy for the customer to scan on the way out, and complete enough to stand as a tax invoice.
The two things that separate a good supermarket bill from a poor one are the rate-wise tax summary at the foot and the accuracy of what sits behind the barcode. Everything else — offers, loyalty, savings messaging — is layered on top of those.
What this format must carry
Every field below, with whether it is mandatory and what it is for.
| Field | Required | Notes |
|---|---|---|
| Store name, address, GSTIN | Printed at the head of the receipt, with the specific store branch for multi-location chains. | |
| Bill number, date, time and till | Consecutive series per till, with time and counter number so shift-wise reconciliation is possible. | |
| Cashier identifier | Who billed it. Essential when you need to trace a wrong price or a void back to a person. | |
| Item line with barcode-driven details | Item name, HSN, quantity, MRP and selling rate — all pulled from the scan rather than typed. | |
| Weight for loose items | Fruit, vegetables and loose staples billed by measured weight with a per-kg rate. | |
| Discounts and offer lines | Show the discount on the invoice itself. Only an on-invoice discount reduces the taxable value. | |
| Rate-wise tax summary | Taxable value, CGST and SGST at each rate, with exempt goods subtotalled separately. This is the block that has to tally with your return. | |
| Total savings line | Not a tax field, but the number customers look for. Compute it from actual on-invoice discounts, not from an inflated reference price. | |
| Loyalty or membership number | Points earned and balance, where you run a programme. | |
| Payment breakup | Cash, card, UPI and wallet split, which is what the till reconciliation at close of shift depends on. | |
| Return policy line | Days allowed and what is excluded — perishables, opened packs — printed in small text at the foot. |

Multiple rates on one basket
A single trolley routinely mixes nil-rated staples, 5% packaged food and 18% household and personal care items. The bill must group them into a rate-wise summary showing taxable value and tax at each rate, with exempt lines subtotalled separately. That block is what your outward supply reporting is built from.
The accuracy of that block depends entirely on the item master. If a product carries the wrong HSN or rate, every bill containing it is wrong, and nobody notices until the return is prepared. Auditing rates on your fastest-moving hundred items is worth more than checking a thousand bills.
Barcodes, weight and speed at the till
Everything that can be scanned should be scanned. A barcode carries the right name, price, HSN and rate onto the bill without a keystroke, and it removes the single largest source of billing error — an operator typing a code from memory during a rush.
For loose produce, use weighing scale labels that encode the item and the weight, so the till reads them like any other barcode. Where you sell own-packed items or need shelf labels, RetailDek's free barcode generator will print the codes for you.
Offers, returns and closing the till
Offers must be expressed on the invoice to affect tax. A buy-one-get-one handled as a discount across the two units reduces the taxable value; the same offer handled as a free item leaves you with goods gone from stock and no line on the bill to explain it. Choose one method and apply it consistently.
Returns after the sale go through a credit note referencing the original bill, and same-day exchanges are simplest as a fresh bill with the returned line credited. Close each shift by matching till totals against cash, card and UPI settlements, and investigate differences the same evening — by tomorrow, nobody remembers.

Print a rate-wise summary at the foot of the bill listing taxable value, CGST and SGST for each rate, with exempt items subtotalled separately. Line items keep their own HSN and rate so the summary can be built from them.
